6 Ways to Create Graphics in Word + Images (All Versions)
A graph is a presentation of data from a table that forms a visualization object in the form of an image with the aim of making it easier for readers to understand the information from the data.
If a table is visualized in the form of a graph, it will certainly help you in reading and understanding it because it is clear that the ups and downs of data, comparisons or proportions are clearly visible.
Notes: This tutorial applies to all versions of Microsoft Office, starting from Office 2007, 2010, 2021 or above.
There are several types of charts you can use such as column, line, pie, bar, area, radar, scatter and others. Each graph has its own special functions such as:
- Pie Chart – describe the proportion or percentage
- Column Chart – effective for showing comparisons (data comparisons)
- Bar Chart – effective for categorizing and not suitable for showing changes over time
- Line Chart – effective for showing trend
- Chart Area – shows the comparison of proportions more clearly
- Scatter Chart – describes the data points of each category/time with the aim of showing the distribution of the data
- Radar Chart – effective for making comparisons of multiple data series
You can create graphs for your data using Microsoft Word. Ms. Word provides a Chart feature with various types of charts in it that will help you visualize your data. How to? Let’s see the explanation below.
How to Create Graphics in Microsoft Word
Creating graphics in Word is very easy and simple. In this tutorial, I will explain how to create a graph step by step in Ms. Words. The following are the steps to create a graphic in Word.
A. Creating Graphics
1. Open Ms. Word on your laptop
2. Create/open the document to which the graphics will be inserted. Then, select the tab Insert > Chart. as indicated by the arrows in the image below.
4. Well, the result will look like in the image below. There is a graph of the type chart that you choose along with a table of the contents of the data that you can update.
5. To change the contents of the graph, you must change the data in the table as shown in the image below.
6. Changes to the table will automatically change the content/form of the graph as shown in the image below.
7. If the window of your data table is closed, you can reopen it by selecting the tab Design > Edit Data.
B. Reversing Row and Column Data Position
1. You can swap row data into columns on your chart. For example, your chart shows data by product type in 3 months. You want to change the graph to display data by month with 4 types of products.
2. First, click on your chart, then select Edit Data > Switch Row/Column.
C. Change Chart Title
Chart Title or the title of the graph is the title of the graph that must describe the entire contents of the data on the graph clearly and precisely.
1. Click on Chart Title, change text Chart Title be a title that fits your graphic.
2. The result will look like in the image below.
D. Adding Chart Elements
You can add some elements to your chart which are called as Chart Elements. There are several chart elements such as
- Axis Title are the titles of the vertical and horizontal axes. vertical axis (vertical axis/y axis) is the vertical part of a graph which is usually the value/size of the column. Whereas, horizontal axis (horizontal axis/x axis) is the horizontal part of a graph which is usually a category of information presented in the graph.
- Chart Title is the title of the graph that must describe the entire contents of the data on the graph clearly and precisely.
- Data Labels is a label in the form of the value of each data in a graph.
- Legend used to describe a data series that represents each color of a graph.
1. Click your graphic, then click the icon “+” which is on the right side of the graph as shown in the image below. Check the elements to be added. Here, I want to add Axis Title.
2. You can change the text from Axis Title it by clicking on it. Then, replace it according to your needs.
3. The result will look like in the image below.
In addition to the above method, you can add Chart Elements use the method below.
1. Click the tab Design > Add Chart Elements, then select which type of chat element to include. For example, here I choose Data Table > With Legend Keys.
E. Changing the Graphic Type
Feel like it doesn’t match the chart you chose? Of course you can still replace it.
1. Click on your chart then select tab Design > Change Chart Type as indicated by the arrows in the image below.
3. The result will look like in the image below.
F. Changing Graphic Layout
you want to change layoutstructure your graph view quickly and easily? Use features Quick Layout sas in the explanation below.
1. Click on your chart then select tab Design > Quick Layout. In Quick Layout, select and click type layout you need as indicated by the arrows in the image below. The result will look like in the image below.
